Each type of mail merge will have a unique set of mail merge markers. Markers are "place holders" for the info the marker pertains to. For example, if you include "Dear <<Firstname>>" into your letter it will print "Dear John," "Dear Lisa," "Dear Tim," etc. This allows you to use the marker in place of the information so that each person receiving the letter will receive a customized letter based on the info that is pulled from their record. Markers are meant to pre-fill with the data that corresponds to the marker so in some case cases you may end up with no information. For example, if you use the marker “Title” but there is no information stored in the “Title” field of the person’s record the marker will appear empty.
Below is a list of some of the hard to understand markers. We have not included all of the markers below as some will be self-explanatory.
Mail Merge
- Active - will state, with a true or false statement, if this person is active or not
- Company - will state the information included in the company field of a person record
- Currently Enrolled Program - will state the currently enrolled grade or classroom the student is in. This marker only pertains to students that are currently enrolled.
- Current Program Title - will state the currently enrolled grade or classroom the student is in UNLESS the student has been enrolled into a future term. If they have been enrolled in a future term the program they have been enrolled into will show here.
- Custom Form Title - if the person is currently using a custom form in their person record the title of that custom form will be stated
- DefaultAddressTitle - will state the full address of the person including address lines 1 and 2, city, state, and zip code (postal code)
- FamilySalutation - this marker pulls from the family salutation fields for the default address for the person. This is the formal family name generated automatically by the system that should appear on an address mailing label when referring to an entire family. The family salutation, by default, will consist of the last name of the family and will read as “The Smith Family,” or “The Baker-Jones Family” if the family shares two last names. - Greeting - this marker pulls from the greeting salutation field for the default address for the person. For example, Dear John and Jane, or Dear Dave and Diana. See Glossary - Salutations for more information on how salutations are created.
- Region - State
- SalutationFirstname - this marker pulls from the address salutation firstname salutation field for the default address for the person. See Glossary - Salutations for more information on how salutations are created.
- SalutationLastname - this marker pulls from the address salutation lastname salutation field for the default address for the person. See Glossary - Salutations for more information on how salutations are created.
Mail Merge (Per Household) - Include Do Not Solicit and Mail Merge (Per Household) - Omit Do Not Solicit
These mail merge options will consist of the same email markers.
- Address Family Salutation - this marker pulls from the family salutation fields for the default address for the person. This is the formal family name generated automatically by the system that should appear on an address mailing label when referring to an entire family. The family salutation, by default, will consist of the last name of the family and will read as “The Smith Family,” or “The Baker-Jones Family” if the family shares two last names. - Address ID - will state the unique ID number the system creates for each address
- Address Salutation Firstname - this marker pulls from the address salutation firstname salutation field for the default address for the person. See Glossary - Salutations for more information on how salutations are created.
- Address Salutation Lastname - this marker pulls from the address salutation lastname salutation field for the default address for the person. See Glossary - Salutations for more information on how salutations are created.
- Current Date Long - will state today’s date in long format. E.g., Monday, April 2, 2018
- Household Guardians - will list out each guardian at the household
- Household Guardians Full Info - will list out each guardian at the household including phone number and email of each guardian
- Household Wards - will list each of the wards (those who have guardians) at the household
- Household Wards With Current Programs - will list each of the wards (those who have guardians) at the household and will include their current programs as well
- Household Wards With Working Term Programs - will list each of the wards (those who have guardians) at the household and will include the current programs for them based on the working term currently being used in your system.
