From the People Table:
- Start by filtering for the people you want to email. NOTE: Please see “Filtering” for more detail on how to filter on the people table.
- Select the records you want to email. NOTE: Because the number of emails you can send at one time is something that can vary per user you may need to batch the sending of these emails depending on how many emails you will be sending. (See Managing Email for more information)
- Click on Communicate > Send Email.
- This will take you to the Send Email to People page. Here you will be able take a few steps to get the email set up properly. Here are some of the options you will have:
- Sending to - this expandable area (field set?) will show you the first and last name(s), and the email address of all people that will receive this email.
- Unable to send to (only appears if there is an issue with at least one person receiving this email) - will show you the first and last name(s) of all people that will not receive this email. NOTE: The system will not state the reason but in most cases this is due to a missing email address.
- Send From - this drop down menu will show your users default email account in BigSIS. If your user has more than one email account you will be able to select any others from the drop down menu. If you do not see an email account to select you will need to follow the steps to get an email account set up. (See Managing Email for more information on how to get email accounts set up in BigSIS.)
- Subject - add a subject for your email. This is a required field!
- CC - add any email addresses to this field that you would want to be CC’d with this email. When added to this field, the email address(es) you enter will be CC’d on the first email that goes out. What this means is that if there are multiple recipients you have selected to receive this email, then the CC address(es) you enter in the field will be CC’d on the email sent to the first recipient only. To add multiple CC email addresses you may do so by separating them with a comma. For more information on this field works please hover over the help bubble.
- Type of Email - select from the drop down menu what type of email you want to send.
- From Template - allows user to select from previously created email templates. Once you make this selection a drop down menu titled “Choose an Email Template” will appear and allow you to select from email templates for this table.
- HTML (default selection) - this option is for sending “one off” emails. You may use the Html Body Email to enter in the body of your email. You may also use the variety of formatting options to customize the body of this email.
- Plain Text - plain text email body that does not have any of the formatting options the above two options offer.
- Available Email Markers - this will list out the markers available for the people table. (See Sending Email - Templates, including markers)
- Html Body Email - this is where you type in the body of your email. You can use the variety of formatting options to customize your email.
- Check Spelling Button - use to check spelling in the body of your email.
- Attach Files - click on to add up to three file attachments.
- Preview First Email Button - will show you a preview of the first email in your batch. We recommend you use this option to double check your email.
- Preview All Emails Button - will show you a preview of all the emails you are going to send. This is a great option but bear in mind that the time it takes to load is based on the number of emails you are sending. So if you are sending many emails this preview may take a short amount of time to load.
- Send Now Button - click on to send the email.
- Save as Draft - click to save all emails in this batch as a draft.
- After you have used the available options to get your email set up the last step will be to click on the blue Send Now button send the email. NOTE: the system will not display a success message when you send the email. Instead the system will only show you an error message if there are any issues sending the email.
