You will use the change matriculation status tool anytime a student is leaving the school for one reason or another. Matriculation Status is the student's status at the school whether they are currently active, inactive, on exchange, deferred, graduated, or expelled.
For example, the most common usage will be when you have students who withdraw mid-year or at the end-of-year. You never want to remove the enrollment record for a student if they have attended at least one day of the school year so remember to use the change matriculation tool to correctly mark them as withdrawn.

Changing a Matriculation Status
- Go to Students > Student Records > Edit a student record.
- Click the Change Matriculation Status button.
PRO TIP! The Current Status section gives you an overview of the student's status including matriculation and enrollment.
(Right-click and "Open image in new tab" to enlarge) - From the Change Student's Matriculation Status screen you will be able to select the reason and the date for why the student is leaving.
- If a student is leaving for any reason other than graduating you will use the Select an Attrition Type option. Select from Expelled, Leave of Absence, On Exchange, or Withdrawn/Left.
- Select the Attrition Date (Date Student Left). This will close the current admission log for the student on the date you specify.
- (Optional) You may also add a Reason for attrition for your own internal use.
- (Optional) Click Create Alumni Record if desired. This option will allow you to select what type of Alumni Record you would like to create.
- Last, select an Attrition Status for Academic Year and Term(s).
For this option, you will select at what time during the school year did this student leave. This will include Completed the full academic year but will not be returning, Did not complete a single term and did not complete the academic year (i.e. left mid term),OR Complete one or more terms but did not complete the full academic year. (These options will help control some of the filtering for active/inactive students.) - Once you have completed these steps click on Set Status and the student record will be made inactive as of the date you entered.
IMPORTANT: The system will notify you if the student has a future enrollment that you should consider deleting. IF a student is withdrawn and NEVER attended a single day of school you will also want to remove their enrollment record for the school. It is important to ONLY complete this for students who have not attended a single day of the school year!
To remove an enrollment record, complete step #3 and move to #4. If you do not need to remove the student's enrollment record you are done!
- If a student is leaving for any reason other than graduating you will use the Select an Attrition Type option. Select from Expelled, Leave of Absence, On Exchange, or Withdrawn/Left.
- IF you need to remove the students enrollment record; after you have matriculated the student you can select the Enrollment record > click Unenroll and you will be done!
