- Filtering
- Whether looking for your latest leads, or to find out who is inquiring about first grade, or who is in the application phase, and so much more, the leads table is the go-to table to track all of your new leads from start to finish.
- We will take a closer look at the many options available on the leads table a bit later but for now, let’s get a brief overview of what we see on the leads table.
- Overview of Lead Records (10:00)
- We will take a deep dive into lead records as we start to get more familiar with how to manage your leads.
- From tracking the phase your lead is in, the current task being completed for a lead, the most recent communication with a parent, etc., this is all done right from the lead record.
- We will visit the action of creating applications and contracts in future trainings but this can be done from a lead record too.
- Managing your Leads (11:00)
- The phase indicates where in the big picture of the admissions process each lead is in.
- While a lead sits inside a particular phase, its status within that phase may vary. Each phase offers a choice of statuses that reflect the current status of the lead. We will start looking through some examples of these statuses.
- Phases: There are five distinct phases that most new enrollment leads will move through in sequential order: Inquiry, Application, Application Decision, Contract, Enrollment (20:45).
- Statuses: While moving our lead through each phase we will review the different status options you have in each phase.
- Keeping Track of Leads with Task Workflows (21:00)
- The task workflow or some may refer to as a pipeline, is a series of tasks you set up for yourself and your institution that must be completed during each phase. Workflow tasks act like a checklist or shopping list to remind yourself what must be completed in order to move the lead along.
- Tasks are tied to specific phases, thus you may have a set of inquiry tasks that remind you what you need to complete during the inquiry phase (e.g., respond to the inquiry, schedule a school tour, send out an application form, etc.) and a separate set of application tasks that remind you what to complete during the application phase (e.g., collect all supplemental material, send application check to the business office, distribute the application to decision-makers, etc.).
- The Lead Application Process (24:45)
- This includes the person record, adding the student role/record, adding the admission record for the student, and adding an enrollment record for the student.

- Closer Look at the Leads Table Action Button (14:30)
- The leads table has several action buttons that will help you email, use mail merge letters, send signup links, create contracts, filter, and more.
- It can take some time to get used to all of the options that the leads table has to offer so today we will look at some of the commonly used action buttons that all users will engage with. In the next webinars, we will explore some of these action buttons in much more detail.
